Friday, June 8: Certificate of Liability Insurance (Required)
All exhibitors must supply a certificate of liability insurance (COI). APMA, its trustees, directors, officers and employees must be named on your policy as additional insureds. Exhibit hall access will not be granted to any company that does not provide a COI that meets the show requirements.
Coverage requirements are published on page 16 of the meeting prospectus, in the “Insurance” section.
Rainprotection has been authorized by APMA to collect your COI. Follow these instructions to submit your COI. If you do not have liability coverage, you may purchase it for $94 from Rainprotection.
Friday, June 8: Badge Orders
Provide badge names via the exhibitor portal. Once you reach the portal, you will need the log-in information that was provided in your booth confirmation notice. When you have opened your record, select the “Staff” tab to enter the names of your booth personnel. There is no charge for badges.
Friday, June 8: Booth Balance
If you have an outstanding balance, you can make a credit card payment online through the exhibitor portal. To access your record, you will need the log-in information that was provided in your booth confirmation notice. Once you have opened your record, select the “Account” tab to pay the outstanding balance and to print a receipt.
June 12–July 3: Advance Shipping
Advance shipments may begin arriving at the GES warehouse Tuesday, June 12, 8:00 AM. Tuesday, July 3, 4:30 p.m. is the last day for advance shipments to arrive at warehouse without surcharges.
Please note: shipments arriving before Tuesday, June 12, 2018 will incur a storage fee, and shipments arriving after Tuesday, July 3, 2018 will incur a Late to Warehouse Fee. The warehouse will be closed on Wednesday, July 4 in observance of Independence Day.
Tuesday, June 19: Discount Deadline
Deadline for discounts on booth supplies and services from GES.
July 10–11: Direct-to-Site Shipping
Shipments will be accepted at Gaylord National Resort & Convention Center Tuesday, July 10, 11:00 a.m.-4:00 p.m., and Wednesday, July 11, 8:00 a.m-4:00 p.m.
Please note: shipments not arriving on the above designated time frame, on a holiday, or on overtime will incur additional charges.
Monday, April 2: GES Expresso Site Available
The booth space is outfitted with pipe, drape, and a company identification sign. The booth fee does not include booth supplies (e.g., furnishings, carpet, electricity, etc.). You may order these items from the official show services provider, GES, at the GES Expresso site. The site link will be posted at www.apma.org/exhibits.
Note: You must cover the floor of your booth. You can order carpeting at the GES Expresso site, or you can bring your own floor covering. If your floor is not covered three hours prior to the show opening, GES will install a standard color carpet at your expense.
Monday, June 4: Meeting Pre-Registrant Data Available
All exhibitors may order one complimentary set of meeting pre-registrant data. You may order self-stick labels or an Excel file. Access the order form through the exhibitor portal. Once you reach the portal, you will need the log-in information that was provided in your booth confirmation notice. When you have opened your record, select the “Resources” tab to download the order form.
Monday, June 25–Friday, July 20: E-Ad Promotions to Meeting Registrants
You may send an email message to registrants via APMA’s designated distributor. The fee to send an email message is $400 ($300 for corporate partners/members). Additional fees may apply if your ad does not meet the distributor’s ad specs. The ad specs and the distributor’s contact information will be provided when your order is received. The order form will be available for download in June 2018 at the exhibitor portal. Once you reach the portal, you will need the log-in information that was provided in your booth confirmation notice. When you have opened your record, select the “Resources” tab to download the e-ad order form.
