This page includes a compilation of APMA's registration and meeting policies that are applicable to all registrants at the APMA 2024 Annual Scientific Meeting (The National). By registering for the meeting, you acknowledge and agree to the following policies.

Registration and General Meeting Policies

• Educational topics are subject to change as the program schedules develop.
• All registration fees must be paid in advance.
• Full payment must be received with your registration form. Registrations without complete payment will not be processed.
• Registration for The National includes educational sessions (unless otherwise noted), exhibit hall entry, and refreshment breaks.
• Breakfast symposia are open to registered attendees only. No guests may attend.
• A confirmation of registration will be sent to you by mail or email.
• Podiatric medical assistants only: Full payment must be received with your registration form, or the total must be recorded as part of the sponsoring DPM’s registration. Registrations without complete payment will not be processed.
• Podiatric medical assistants only: Registration for The National includes educational sessions (unless otherwise noted), exhibit hall entry, and refreshment breaks. Note: There is a separate fee for the examinations and review courses provided by the American Society of Podiatric Medical Assistants.

Refunds and Cancellations

Cancellation requests must be made in writing. Cancellations received prior to the start of The National will receive a refund minus a service fee ($150 for podiatric physicians; $50 for podiatric medical assistants). No refunds are available for no-shows or cancellations received after the start of the event. Refunds will be remitted after the close of the event. Hotel reservations must be cancelled separately and directly with the hotel.

Force Majeure

In the event an act of God, war, terrorism, government action, disaster, fire, strike, civil disorder, curtailment of transportation facilities, or other cause beyond the control of APMA makes it impossible or inadvisable to conduct this event, APMA shall not be responsible for any expenses (including travel-related expenses and time) incurred by registrant. Registrant should consider purchasing travel or trip cancellation insurance.

Attendee List

By registering for The National, your contact information (name, mailing address, email address) may be shared with supplier vendors who purchase our registrant list. The information provided in this registration form will be used to populate that list.

As part of your registration of The National, APMA will share the data you provide with third party vendors in order to process your registration, to make you aware of goods and services you may be interested in, and to perform analytics on behalf of APMA, in connection with The National and for such other purposes as APMA may approve from time to time. The information provided in your registration will be used to populate that list.

You acknowledge personal information you provide may be used in accordance with our Privacy Policy. For more information regarding your personal data rights, please review the APMA Privacy Policy at https://www.apma.org/privacy.

COVID-19

By attending The National, you agree to abide by all COVID-19 safety protocols put in place by APMA, the property, or local jurisdiction at the time of the event.

Code of Conduct

All participants in APMA meetings and events (inclusive of attendees, speakers, volunteers, exhibitors, staff, members of the media, vendors, service providers, and guests) shall abide by the following professional behavior expectations:

• Comply with all rules in place to prevent the spread of COVID-19.
• Respect the diversity of all participants regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, race, ethnicity, religion (or lack thereof), or technology choices.
• Treat all participants with kindness and consideration, respecting the views and opinions of others (including those you may not share) and critiquing ideas rather than individuals.
• Refrain from demeaning, discriminatory, bullying, or harassing behavior and speech directed toward other participants. Physical or verbal abuse of any participant shall not be tolerated.
• Comply with all rules and policies of the meeting/event venue.
• Refrain from use of sexual or discriminatory images and/or inferences in presentations, public spaces, or in online media.
• Maintain appropriate decorum by not being disruptive during lectures, poster sessions, in the exhibit hall, receptions, or other events.

Any participant who is requested to stop unacceptable behavior is expected to comply immediately. As necessary, APMA staff or security may take immediate action deemed appropriate, including removal from the meeting or event without warning or refund. APMA reserves the right to prohibit attendance at any future meeting or event.

This code of conduct shall apply to all venues, including ancillary events and social gatherings and shall be included in materials provided to all participants. Violations of this code of conduct by APMA members may be referred to the member’s component for further adjudication under the APMA Code of Ethics.

Photography/Video

On occasion, you may be photographed, videotaped, or audiotaped in connection with APMA activities. As a participant of APMA, you agree that APMA is the sole owner of all rights in and to the resulting photographs, video footage and recordings, for all purposes related to APMA's business (both now and in the future). Your name and likeness may be used by APMA in advertising and promotional materials. Participants shall receive no compensation or royalties for appearance in any materials.

The National attendees may take photos, video, and audio recordings for personal use only in public spaces throughout the meeting site. Do not use video recording, audio recording, or other recording devices in courses, workshops, and poster sessions—it is strictly prohibited. Do not use photographic or other recording devices at CECH sessions; such use is prohibited unless you obtain prior permission or are an approved member of the press.

Liability Waiver & Release

In consideration of being allowed to register for, and participate in The National, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue APMA or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of APMA. This Liability Waiver & Release is specifically binding upon your heirs and assigns and is knowingly given.

CECH Scanning and Credit

CECH functions are for registered attendees only. APMA’s official policy is to provide attendees with a certificate of attendance that reflects only the number of CECH scanned or verified. To receive the maximum number of CECH, you must be scanned at each of the listed scanning sessions.

Non-CECH Lunch and Dinner Symposia

The non-CECH lunch and dinner symposia are ticketed events with a limited number of meals available. Meeting attendees who did not preregister for these programs may take any available seats only after the start of the programs. Due to Sunshine Act regulations, these events are limited to only health-care professionals and office personnel.

Nondiscrimination Policy for APMA Continuing Education Programs

APMA does not and shall not discriminate on the basis of race, color, religion (creed), gender, gender identity and expression, age, national origin (ancestry), disability, marital status, sexual orientation, or military status in any of its activities or operations. APMA provides an opportunity for the learner with a disability who may require accommodations to participate fully to indicate such a status on the registration form for any continuing education activity. Requests for such accommodations are handled by the registration team, as required by the Americans with Disabilities Act of 1990.

General

APMA reserves the right to change, amend, add, or remove any of the Terms & Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

The opinions expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily those of APMA. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporate non-CECH presentations, marketing collateral, and/or advertising.
